Inventory counting for SAP Business One: make the system match the shelf.

Barcode counting for the SAP Business One® solution. Several people count at once, batch and bin are captured where the stock is, and every variance is reviewed by somebody before it touches the ledger.

The path

From the shelf to the ledger

Six steps, and the fifth one is why this is not just a scanner.

  1. WarehouseZones and bins
  2. ScanItem · Bin · Batch
  3. CountEntered at the shelf
  4. VarianceSystem vs counted
  5. ReviewSupervisor decides
  6. SAP Business OneStock posting

Most counting tools stop at step four. They show you a variance and post it. That is how a mis-scan becomes a stock adjustment, and how a stock adjustment becomes a margin problem nobody can trace three months later.

During the count

What the supervisor is looking at

A count is a live operation with several people in it. One screen shows where it has got to and what needs a decision.

Three ways to count

Not every count is a shutdown

  1. 01

    Full physical count

The whole warehouse, usually with the operation stopped. Zones are assigned, progress is visible from one screen, and nothing posts until every zone is complete and reviewed.

    • Zone assignment per counter
    • Blind counting where required
    • One posting at the end
  2. 02

    Cycle counting

A slice at a time, with the operation running. High-value or fast-moving items come round more often, so accuracy is maintained continuously instead of discovered once a year.

    • Count by zone, class or velocity
    • No shutdown required
    • Variances handled as they appear
  3. 03

    Spot checks

One bin, one item, right now, usually because a picker found something wrong. The count is recorded properly rather than corrected by hand in the client.

    • Single bin or item
    • Triggered from the floor
    • Same review path as any count

In the app

What it handles

  • Scan items, bins and batches

Barcode capture at the shelf. Batch and expiry are recorded where the item is managed by batch, rather than reconstructed later.

  • Several counters at once

Multiple people in one session across different zones, without two of them counting the same bin or overwriting each other.

  • Variance before posting

The difference between system and counted quantity is shown per line and held in a queue. Nothing reaches the ledger unreviewed.

  • Recount without starting over

A disputed line can be recounted on its own. The session stays open and the rest of the work is not lost.

  • Works with a poor signal

Counts are held on the device and sync when the connection returns. Warehouses are the worst coverage in most businesses.

  • An audit trail that survives

Who counted what, when, and who approved the adjustment. Available afterwards, which is the point of counting at all.

The interesting part is not the scanning. It is what the first count tells you about the number you have been trusting.
